Halo Dispatch LLC ("Halo," "we," "us," or "our") operates the Halo Tracking platform (tracking.halodispatch.com) and the Halo Dispatch mobile application (collectively, the "Service"). This Privacy Policy describes how we collect, use, share, and protect your personal information when you use our Service.

By using the Service, you consent to the practices described in this Privacy Policy. If you do not agree, please do not use the Service.

2. Information We Collect

Account Information

When you create an account, we collect:

• Company name and contact information
• Email address
• Phone number
• Name and role of account users

Driver Information

When a broker initiates tracking on a load, we collect:

• Driver's phone number (provided by the broker for SMS tracking)
• GPS location data during active tracking sessions
• Device information (browser type, OS version for the mobile app)

Load and Shipment Data

• Load numbers and reference numbers
• Pickup and delivery locations (city, state, facility names)
• Broker and shipper company names
• Scheduled pickup and delivery dates
• Proof of delivery photos

Usage and Technical Data

• IP address
• Browser type and version
• Pages visited and features used
• Timestamps of actions taken

Payment Information

Payment is processed by Stripe. We do not store credit card numbers, CVVs, or full payment card details on our servers. Stripe's privacy policy governs the handling of your payment information.

3. GPS Location Data

Because GPS location data is sensitive, we want to be clear about how it works:

When collected	Only during active tracking sessions — when a driver taps an SMS tracking link or activates tracking in the mobile app. We do not track drivers 24/7.
Update frequency	Adaptive: more frequent while moving (approximately every 15 seconds), less frequent while stopped (approximately every 5 minutes). This conserves battery and data.
Who can see it	Only the broker who initiated tracking and any shipper(s) the broker shares a tracking link with — for that specific load only.
How to stop	Drivers can stop location sharing at any time by closing the browser tab (SMS tracking) or disabling tracking in the mobile app.
Tracking links	Shipper tracking links are time-limited and expire automatically 14 days after delivery. No login required for shippers — but no permanent access either.

4. How We Use Your Information

We use the information we collect to:

• Provide real-time GPS tracking and visibility to authorized brokers and shippers
• Send SMS notifications to drivers (tracking links, reminders)
• Generate estimated arrival times (ETAs) and geofence-based alerts
• Deliver email notifications for load events (pickup, delivery, status changes)
• Process payments and manage your subscription
• Provide customer support
• Improve the Service through aggregated, anonymized analytics
• Comply with legal obligations

We do not use your data for advertising. We do not sell your data. We do not build advertising profiles from driver location data.

5. Who We Share Data With

Authorized Recipients (Part of the Service)

• Brokers — see GPS tracking, ETAs, and load status for loads they manage
• Shippers — see GPS tracking for loads shared with them via time-limited tracking links

Service Providers

• Twilio — SMS delivery (receives driver phone numbers and message content)
• Stripe — Payment processing (receives billing information)
• Cloudflare — CDN, DDoS protection, and anonymized web analytics

Legal Requirements

We may disclose your information if required by law, subpoena, court order, or government regulation, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.

We Do Not

• Sell your personal information to third parties
• Share driver location data with anyone other than the authorized broker/shipper for that load
• Use your data for targeted advertising
• Provide data to data brokers or aggregators

6. SMS Communications

We send SMS messages to drivers for load tracking purposes only. By using the Service:

• Brokers confirm they have authorization to provide the driver's phone number
• Drivers consent to receiving tracking-related SMS when they are assigned to a load
• Message types: tracking link, tracking reminder
• Message frequency: typically 1-2 messages per load
• Message and data rates may apply

Opt-out: Reply STOP to any SMS message to opt out. Reply HELP for assistance. After opting out, drivers will not receive further SMS messages from us.

7. Data Retention

Data Type	Retention Period
Active tracking (GPS points)	Retained during load transit plus a configurable period after delivery. Raw GPS data is then summarized and deleted.
Shipper tracking links	Expire 14 days after delivery
Load and shipment data	Retained while your account is active
Account data	Retained while your account is active. Deleted within 30 days of account cancellation upon request.
SMS logs	Retained for 90 days for delivery verification and troubleshooting
Payment records	Retained as required by tax and accounting laws

8. Your Rights

You have the following rights regarding your personal information:

• Access — Request a copy of the personal data we hold about you
• Correction — Request correction of inaccurate data
• Deletion — Request deletion of your personal data (subject to legal retention requirements)
• Data Export — Request your data in a portable format
• SMS Opt-Out — Reply STOP to any message to stop receiving SMS

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):

We implement industry-standard security measures to protect your data:

• All data transmitted over HTTPS (TLS encryption)
• Database access restricted to authorized services only
• Passwords are hashed and never stored in plain text
• Infrastructure protected by Cloudflare DDoS mitigation and firewall
• Regular security reviews of our codebase

No method of electronic storage or transmission is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

10. Cookies and Analytics

We use minimal tracking:

• Cloudflare Web Analytics — Privacy-focused, anonymized analytics with no cookies or personal data tracking
• Session cookies — Used solely for authentication (keeping you logged in). These are essential cookies required for the Service to function.

We do not use third-party advertising cookies, retargeting pixels, or social media tracking scripts.

11. Children's Privacy

The Service is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected information from a child under 18, we will take steps to delete it promptly.

12. International Data

The Service is operated from the United States. If you are accessing the Service from outside the United States, your information will be transferred to and processed in the United States. By using the Service, you consent to this transfer.

13. Changes to This Policy

We may update this Privacy Policy from time to time. For material changes, we will notify you via email or a prominent notice on the Service at least 14 days before the changes take effect. Your continued use of the Service after changes are posted constitutes acceptance of the revised policy.
