Privacy Policy

1. Introduction
Halo Dispatch LLC ("Halo," "we," "us," or "our") operates the following services (collectively, the "Service"):
- Halo Dispatch (halodispatch.com) — a dispatch and fleet management platform for trucking companies
- Halo Tracking (tracking.halodispatch.com) — a load tracking platform for freight brokers
- Halo Dispatch Driver — the mobile app truck drivers use on iOS and Android
- Tracking pages — links a trucking company or broker shares so others can follow a load
This Privacy Policy describes how we collect, use, share, and protect personal information when you use the Service. By using the Service, you consent to the practices described here. If you do not agree, please do not use the Service.
2. Information We Collect
Account Information
When a company creates an account, we collect:
- Company name, contact information, and MC/DOT numbers
- Email address and phone number
- Names and roles of account users
Driver Information
Drivers do not create their own accounts. The trucking company or broker enters the driver's name and phone number. When the driver uses the Halo Dispatch Driver app, we also collect:
- GPS location data while a load is active (see Section 3)
- A login PIN, stored only as a one-way hash
- Proof of delivery photos
- A push notification token and device information (operating system and app version)
Load, Shipment, and Business Records
- Load numbers and reference numbers
- Pickup and delivery locations (city, state, facility names)
- Broker, shipper, and carrier company names
- Scheduled pickup and delivery dates
- Documents uploaded to a load, such as rate confirmations and proof of delivery
- For Halo Dispatch: invoices, driver pay settlements, fuel purchases, and expenses the trucking company enters or uploads
Tracking Page Visitors
- If you sign up for an arrival alert on a tracking page, we collect the email address or phone number you enter
- Questions you type into a tracking page are logged
- In both cases we record your IP address
Usage and Technical Data
- IP address
- Browser type and version
- Pages visited and features used
- Timestamps of actions taken
- Error and crash reports (see Sentry in Section 5)
Payment Information
Payment is processed by Stripe. We do not store credit card numbers, CVVs, or full payment card details on our servers. Stripe's privacy policy governs the handling of your payment information.
3. GPS Location Data
Because GPS location data is sensitive, we want to be clear about how it works:

Live tracking, arrival times (ETAs), automatic arrival and departure updates, and — for Halo Dispatch — IFTA fuel-tax mileage for the trucking company. |
| How to stop |
Tracking stops automatically when the load is delivered. While an accepted load is in progress, the driver cannot sign out of the app. Drivers can always turn off location permission for the app in their phone's settings. |

Shared tracking links expire automatically 14 days after delivery. No login is required to view them — but there is no permanent access either. |
4. How We Use Your Information
We use the information we collect to:
- Provide real-time GPS tracking and visibility to authorized companies and the people they share loads with
- Send text messages and push notifications about loads (see Section 6)
- Generate estimated arrival times (ETAs) and geofence-based arrival and departure updates
- Deliver email notifications for load events (pickup, delivery, status changes)
- Read uploaded documents to fill in load and expense details
- For Halo Dispatch: generate invoices, driver pay settlements, and IFTA fuel-tax reports
- Process payments and manage your subscription
- Provide customer support and fix errors
- Improve the Service through aggregated, anonymized analytics
- Comply with legal obligations
We do not use your data for advertising. We do not sell your data. We do not build advertising profiles from driver location data.
5. Who We Share Data With
Authorized Recipients (Part of the Service)
- Trucking companies — see GPS tracking, load status, and records for their own drivers and loads
- Brokers — see GPS tracking, ETAs, and load status for loads they manage
- Shippers, receivers, and others — see GPS tracking for a load only through a time-limited tracking link someone shared with them
Service Providers
- Telnyx — SMS delivery (receives phone numbers and message content)
- Postmark — Email delivery (receives recipient email addresses and message content)
- Google (Gemini AI) — Reads uploaded documents, such as rate confirmations, fuel statements, and equipment records, to fill in details
- Backblaze — Cloud storage for uploaded documents and photos
- Sentry — Error and crash reporting for our websites, servers, and the driver app (receives error details, device or browser information, and an internal user ID)
- Apple and Google — Push notification delivery to the driver app (receive the device's push token and the notification text)
- Stripe — Payment processing (receives billing information)
- Cloudflare — CDN, DDoS protection, and anonymized web analytics
- Hosting providers — Rented servers that run the Service and store its data
Legal Requirements
We may disclose your information if required by law, subpoena, court order, or government regulation, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.
We Do Not
- Sell your personal information to third parties
- Share driver location data with anyone other than the companies and link holders authorized for that load
- Use your data for targeted advertising
- Provide data to data brokers or aggregators
6. SMS Communications
We send text messages only for these purposes — never for marketing:
- Tracking requests — to a driver when a broker starts tracking a load on Halo Tracking (the broker may resend it)
- PIN reset codes — to a driver who requests one in the driver app
- Arrival alerts — one text to a person who signed up for it on a tracking page
- Companies confirm they have authorization to provide a driver's phone number
- Message frequency: typically 1–2 messages per load
- Message and data rates may apply
Opt-out: Reply STOP to any SMS message to opt out. Reply HELP for assistance. After opting out, you will not receive further SMS messages from us.

Drivers can request deletion of data collected by the driver app at halodispatch.com/delete-account.
8. Your Rights
You have the following rights regarding your personal information:
- Access — Request a copy of the personal data we hold about you
- Correction — Request correction of inaccurate data
- Deletion — Request deletion of your personal data (subject to legal retention requirements)
- Data Export — Request your data in a portable format
- SMS Opt-Out — Reply STOP to any message to stop receiving SMS

California Residents (CCPA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):
- Right to Know — You may request the categories and specific pieces of personal information we have collected
- Right to Delete — You may request deletion of your personal information
- Right to Opt-Out of Sale — We do not sell personal information, so this right is already satisfied
- Non-Discrimination — We will not discriminate against you for exercising your CCPA rights
9. Data Security
We implement industry-standard security measures to protect your data:
- All data transmitted over HTTPS (TLS encryption)
- Database access restricted to authorized services only
- Passwords and PINs are hashed and never stored in plain text
- Infrastructure protected by Cloudflare DDoS mitigation and firewall
- Regular security reviews of our codebase
No method of electronic storage or transmission is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.
10. Cookies and Analytics
We use minimal tracking:
- Cloudflare Web Analytics — Privacy-focused, anonymized analytics with no cookies or personal data tracking
- Login storage — Your browser stores a login token (and, on Halo Dispatch, a sign-in cookie) so you stay logged in. These are used only for authentication and are required for the Service to work.
We do not use third-party advertising cookies, retargeting pixels, or social media tracking scripts.
11. Children's Privacy
The Service is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected information from a child under 18, we will take steps to delete it promptly.
12. International Data
The Service is operated from the United States. If you are accessing the Service from outside the United States, your information will be transferred to and processed in the United States. By using the Service, you consent to this transfer.
13. Changes to This Policy
We may update this Privacy Policy from time to time. For material changes, we will notify you via email or a prominent notice on the Service at least 14 days before the changes take effect. Your continued use of the Service after changes are posted constitutes acceptance of the revised policy.
